Our Managed Maintenance Program is a proactive system designed to maintain the safe and consistent operation of your vehicles while monitoring economic efficiency. Our goal is to minimize downtime and keep your drivers on the road.
We believe one person should oversee every aspect of your fleet. It is critical for the same individual to monitor both the maintenance history and the recycling future of a vehicle when making current repair decisions.
If your organization does not currently have a written vehicle policy in place, we will help to write and establish a policy for you.
An ASE Certified repair specialist is contacted by the service vendor for authorization and consultation on any repair in excess of a set dollar amount. The technician reviews the history of the vehicle, current proposed service and cost of repairs, determining accuracy of these details for each and every service call. The future of the vehicle is also taken into consideration. If the vehicle is flagged for replacement, the repairs may not be approved. The technicians we use are also well-versed in warranty-worthy work, as well as current recalls. A post-warranty recovery system flags potential claims for further investigation. If an expense is approved, the technician will issue a verbal purchase order directly to the facility.
We provide recommendations for service work. Since we handle vehicle maintenance 24/7, we are well poised to properly advise you on whether it's practical to repair your vehicle, taking into account its value compared to the cost of work to be performed. Perhaps another repair facility is better equipped to handle the problem, or the manufacturer should provide a "good will warranty" to alleviate some of not all of the cost!
Your organization can set a dollar limit to control what your drivers can spend without prior approval. If the service expense reaches or exceeds either limit, we call you to explain your options and provide recommendations for the repair. Your organization or company leadership is in complete control in setting your limits as high or as low as needed.
A network of over 50,000 major maintenance and repair facilities all over the U.S. are available for your drivers to utilize through our program. Some of these suppliers are well-known, like Firestone, Goodyear, Pep Boys, Jiffy Lube, AAMCO, Meineke Mufflers, etc. Service or unit prices have already been negotiated with these vendors to provide you with volume pricing, and network providers are constantly reviewed for additions or removal.
Vehicle expenses submitted by national accounts are audited to ensure the work and prices we approved for you are represented correctly on invoices. Copies of all work performed are computerized and available online for each vehicle.
All maintenance and repair work is consolidated into one invoice for your organization. You will never have to write a check to any repair facilities. The monthly invoice is broken down by vehicle and service work performed, in addition to any other maintenance expenses incurred throughout the month.
There are several reports available in our program, designed to monitor the health of your vehicle portfolio. In your partnering with us, it is our job to monitor the reports on each individual vehicle in your fleet to ensure a properly managed fleet (see below).
An email will be sent to drivers to indicate they are past due for an oil change. The parameters of exception can be set by your company, but typically we recommend getting an oil change ever 3 months or 3,000 miles. Oil changes are the most inexpensive form of insurance on a vehicle.
Drivers will have access to a 24/7/365 roadside assistance program via a toll-free 1-800 number. Some available services include towing, flat tire repair, lockout service, jump starts and mechanical breakdown assistance.
Sometimes we find that drivers in remote areas may not have a known driving history. If the driver's safety is in question, a record check could provide the answer. Motor Vehicle Records offers background checks on driving history, tickets, etc.
The reports we offer are available in hard copy at a frequency totally up to you. They can be sent monthly, quarterly or annually. They are also accessible online, where data is updated daily.
An accurate account of all active vehicles in your fleet, this report contains driver info, vehicle year, vehicle make and model, service date(s), mileage, average monthly mileage, and forecasted replacement.
These reports focus on the vehicles that we suggest to be replaced within the next year. This is a great budgeting tool.
These reports offer either a lone-line summary of total maintenance expenses for a given period, or an itemized detail of all maintenance performed in that period.
These reports identify vehicles that are not compliant with your oil change parameters.
These reports illustrate where money was saved on behalf of your company, community or organization.
These reports illustrate areas where the manufacturer provided financial assistance outside of the normal warranty.
